Terms & Conditions

Welcome to Sapphic Sail. These Terms and Conditions (“Terms”) govern your use of sapphicsail.com and your participation in any voyage, event, or service offered by Sapphic Sail, LLC (“Sapphic Sail,” “we,” “us,” or “our”).

By using this website, booking a voyage, or attending any of our events, you agree to these Terms. If you do not agree, please do not use our services.

1. Who We Are

Sapphic Sail is a group travel brand that curates luxury voyages for sapphic women. We book group space aboard Virgin Voyages sailings and produce private events within those sailings.

We are not a cruise line. We do not own or operate any vessel, and we do not charter entire ships. Virgin Voyages is a separate company responsible for the ship, its crew, your cabin, onboard services, and all aspects of the cruise itself. Your cruise booking is subject to Virgin Voyages' own terms, conditions, and ticket contract, which are separate from these Terms.

2. Eligibility

  • You must be at least 21 years old to book or sail with us.

  • You must hold a valid passport meeting the requirements of every port on your itinerary.

  • You are responsible for all travel documents, visas, and entry requirements. We are not liable if you are denied boarding or entry for lack of proper documentation.

3. Booking

3.1 How to Book

All bookings are made directly through Sapphic Sail via our booking forms or by working with us directly. We will confirm your booking in writing.

3.2 Event Participation Requires Booking Through Us

To attend any Sapphic Sail event, you must book your voyage through Sapphic Sail.

Our private events, parties, mixers, and group experiences are available only to sailors booked within our group block. If you book the same sailing through another agent, another agency, or directly with Virgin Voyages, you will not have access to our events, and no exceptions will be made.

3.3 Accuracy of Information

You are responsible for the accuracy of all information you provide, including legal names, dates of birth, and contact details. Names must match your passport exactly. Corrections made after your final payment deadline may not be possible and may carry fees imposed by Virgin Voyages.

4. Payment

  • A deposit is required to reserve your cabin. Deposit amounts vary by sailing and cabin category and are listed on each sailing page.

  • Final payment is due by the deadline listed for your sailing. These deadlines are set by Virgin Voyages and cannot be extended by us.

  • If final payment is not received by the deadline, your cabin may be released and offered to another party.

  • Payments may be made in installments toward your balance at any point before the final payment deadline.

  • All prices are quoted in U.S. dollars and are subject to applicable taxes, port fees, and payment processing fees.

5. Cancellations & Refunds

5.1 Within Seven Days of Booking

If you cancel within seven (7) calendar days of your original booking date, you will receive a full refund of amounts paid to Virgin Voyages.

5.2 After Seven Days

If you cancel more than seven (7) calendar days after your original booking date, you will receive a Future Voyage Credit equal to the amount paid to Virgin Voyages, which may be applied to a future Sapphic Sail voyage. Cash refunds are not available after this window.

5.3 Rebooking After Cancellation

If you cancel and later wish to rejoin a group, Virgin Voyages charges a fee of $200 to re-add a canceled booking to a group block. This fee is the responsibility of the sailor and is not covered by Sapphic Sail.

5.4 Cancellation By Us

We reserve the right to cancel or modify a voyage or event due to circumstances beyond our control, including but not limited to weather, itinerary changes by Virgin Voyages, port closures, mechanical issues, government action, public health requirements, or insufficient participation. In such cases, we will offer a Future Voyage Credit or a refund of amounts paid to Sapphic Sail, at our discretion.

We are not responsible for any non-refundable costs you incur independently, including airfare, hotels, or other travel arrangements.

6. Travel Insurance

We strongly recommend that every sailor purchase travel insurance. Insurance is the only protection available for circumstances outside both our control and yours, including medical emergencies, missed connections, and trip interruption. The decision to purchase insurance, and the selection of any policy, is entirely your responsibility. Here is our recommendation; click HERE.

7. Events, Wristbands & Fees

7.1 Wristband Policy

All Sapphic Sail events are strictly wristband enforced. No wristband, no entry, no exceptions.

Wristbands are issued only to sailors booked through Sapphic Sail. Wristbands are non-transferable. Sharing, selling, or attempting to transfer a wristband will result in removal from the event and may result in loss of access to all remaining events without refund or credit.

7.2 Event Fees

Some events carry additional fees. Where we reserve a venue exclusively for our group, Virgin Voyages requires the purchase of an open bar package for that event. These fees are set by Virgin Voyages, are paid to Virgin Voyages, and are not retained by Sapphic Sail.

Event fees and which events carry them are disclosed on the applicable sailing page before booking. Optional events may be declined before the deadline stated for that sailing. Event fees are non-refundable once charged.

7.3 Changes to Programming

Event schedules, venues, times, hosts, and entertainment are subject to change. We will communicate material changes as promptly as possible. Substitution or cancellation of an individual event does not entitle you to a refund of your voyage fare.

8. Code of Conduct

Sapphic Sail exists to create a safe, affirming space. Participation requires that you treat every sailor, host, staff member, vendor, and crew member with respect.

The following will result in removal from events and may result in removal from the group and reporting to Virgin Voyages, without refund or credit:

  • Harassment, discrimination, or intimidation of any kind

  • Violence, threats, or physical aggression

  • Disclosing another sailor's identity, orientation, or participation without their consent

  • Recording or photographing another sailor who has declined to be filmed

  • Any conduct that endangers the safety or wellbeing of others

We reserve the right to decline or revoke participation at our sole discretion where we believe conduct threatens the safety or integrity of our community.

9. Privacy & Confidentiality of Sailors

Many members of our community are not publicly out. Protecting one another is a condition of participating in our voyages.

You agree not to disclose, publish, post, imply, or confirm the identity, orientation, or participation of any other sailor without that person's express consent. This obligation continues after the voyage ends.

10. Photography & Content

Sapphic Sail photographs and films our events for marketing and archival purposes. By attending, you acknowledge that you may appear in photographs or video captured at our events.

If you do not wish to be photographed or filmed, notify us in advance and at the event, and we will make reasonable efforts to exclude you from captured content. We will honor any request to decline being filmed.

You grant Sapphic Sail a non-exclusive, royalty-free license to use images and footage in which you appear for promotional purposes, unless you have opted out as described above.

Confirm with your attorney whether an opt-out model is sufficient in your jurisdiction, or whether you need signed written releases. Given that many of your sailors are not out, the safer approach may be explicit written consent rather than opt-out.

11. Custom Travel Planning Services

Separate from our group voyages, we offer custom travel planning. The planning fee is $100 and covers consultation, itinerary development, accommodation recommendations, and booking assistance.

The planning fee is non-refundable once the consultation has taken place, as it compensates work already performed.

12. Website Use

  • All content on this website, including text, images, logos, and branding, is the property of Sapphic Sail, LLC and may not be reproduced without written permission.

  • You may not use this website for any unlawful purpose or attempt to gain unauthorized access to any portion of it.

  • We make reasonable efforts to keep information accurate, but do not warrant that all content, pricing, or availability is error-free. Pricing and availability are subject to change until a booking is confirmed.

13. Limitation of Liability

Sapphic Sail acts as a coordinator of group travel. We do not own, operate, or control Virgin Voyages, its vessels, its crew, any port facility, excursion operator, hotel, transportation provider, or venue.

To the fullest extent permitted by law, Sapphic Sail, LLC and its members, employees, and contractors shall not be liable for any injury, illness, death, loss, damage, delay, or expense arising from the acts or omissions of any third party, or from circumstances beyond our reasonable control.

Our total liability for any claim arising from these Terms or your participation shall not exceed the amount you paid directly to Sapphic Sail.

This section is the most important one for your attorney to review and strengthen. Standard limitation-of-liability language varies by state and needs to be enforceable, not just present.

14. Indemnification

You agree to indemnify and hold harmless Sapphic Sail, LLC from any claims, damages, or expenses arising from your breach of these Terms, your conduct during a voyage or event, or your violation of any applicable law.

15. Changes to These Terms

We may update these Terms from time to time. The version in effect at the time of your booking governs that booking. Continued use of this website after changes are posted constitutes acceptance of the updated Terms.

16. Governing Law

These Terms are governed by the laws of the State of Texas, without regard to conflict of law principles. Any dispute arising from these Terms shall be brought exclusively in the state or federal courts located in Harris County, Texas.
