Privacy Policy
Last updated: 09/19/2026
Sapphic Sail, LLC (“Sapphic Sail,” “we,” “us,” or “our”) respects your privacy. This policy explains what information we collect, how we use it, and the choices you have.
We want to say something plainly up front. We know that for many of our sailors, privacy isn’t a formality. Some of you are not publicly out, and trusting us with your information is a real decision. We take that seriously, and we’ve written this policy to be honest rather than vague.
1. Information We Collect
Information you give us
-
Booking information: first and last name, email address, phone number, date of birth, cabin preference, number of guests, and the names and dates of birth of anyone sailing in your cabin.
-
Payment information: payments are processed by our third-party payment processors. We do not store full payment card numbers on our systems.
-
Communications: messages you send us by email, text, contact form, or through our app.

-
App profile: if you use the Sapphic Sail app, we collect your profile photo, display name, and any content you post or messages you send within it.
-
Applications: if you apply to work with us, we collect the information in your application, including links you provide.

Sensitive information
Two categories deserve specific mention.
Allergy and dietary information is health-related. We collect it only when you volunteer it, and we use it only to accommodate you onboard.
Because Sapphic Sail serves the sapphic and WLW community, your participation may imply information about your sexual orientation. We do not ask you to state your orientation, we do not record it as a data field, and we do not sell, share, or disclose customer lists for marketing purposes.
2. How We Use Your Information
-
To process your booking and communicate with you about it
-
To coordinate your reservation with Virgin Voyages and our vendors
-
To plan events, including headcounts, seating, and dietary accommodations
-
To send you updates about your sailing
-
To send marketing emails, if you have opted in
-
To operate the Sapphic Sail app and community features
-
To respond to your questions and provide customer support
-
To meet legal, tax, and accounting obligations
3. Who We Share Information With
We share your information only where it’s necessary to deliver your trip or run our business. Specifically:
-
Virgin Voyages: we share the booking details required to reserve your cabin and register you as a sailor, including names, dates of birth, and contact information. Virgin Voyages handles your information under its own privacy policy.
-
Service providers: payment processors, email and form services, database hosting, and app infrastructure. These providers may only use your information to provide services to us.
-
Co-hosts and collaborators: where a sailing is co-hosted, we may share limited booking details necessary to coordinate that event.
-
Legal requirements: if we are required by law, subpoena, or court order.
We do not sell your personal information. We do not share customer lists with advertisers or data brokers.
4. Photography and Video at Our Events
We photograph and film at our events for marketing purposes.
We will not knowingly post, publish, or use an image that identifies you without your consent. If you prefer not to be photographed, tell us or any member of our team at any time and we will respect it, no explanation needed.
If an image of you has been published and you want it removed, email us at support@sapphicsail.com and we will remove it promptly.
5. The Sapphic Sail App
Our app includes community features where you can message and connect with other sailors. Information you post or share in community areas is visible to other sailors on your voyage.
Please use good judgment about what you share. We are not able to control what other users do with information you make visible to them.
A profile photo is required to use the app. We use it so sailors can recognize each other, and it is visible only to other sailors within the app.
6. Data Retention
We keep your booking information for as long as needed to provide services and to meet our legal, tax, and accounting obligations, generally 10 years after your sailing.
Marketing contacts are retained until you unsubscribe.
You may request deletion of your information as described in Section 8.
7. Cookies
To better assist you on our site, cookies may be enabled.
8. Your Rights and Choices
-
Access and correction: you may request a copy of the information we hold about you, or ask us to correct it.
-
Deletion: you may request that we delete your information, subject to records we are required to keep.
-
Marketing opt-out: every marketing email includes an unsubscribe link. You may also email us to opt out.
-
App account: you may request deactivation of your app profile at any time.
-
To exercise any of these, email support@sapphicsail.com. We will respond within [30] days.
If you have customers in California, the EU, or the UK, this section needs expansion to cover CCPA/CPRA and GDPR rights specifically. Under GDPR, information implying sexual orientation is a special category requiring explicit legal basis. Flag this to your attorney directly.
9. Data Security
We use reasonable safeguards to protect your information, including encrypted connections and access controls on our systems. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
If a breach occurs that affects your personal information, we will notify you as required by applicable law.
10. Children
Our sailings are for adults 21 and older. Our website and services are not directed to children, and we do not knowingly collect information from anyone under 18. If you believe a minor has provided us information, contact us and we will delete it.
11. Third-Party Links
Our site links to other websites, including Virgin Voyages and our booking and payment providers. We are not responsible for their privacy practices. Review their policies before providing information.
12. Changes to This Policy
We may update this policy from time to time. The “last updated” date at the top reflects the most recent version. Material changes will be communicated by email or a notice on our site.
